Maximizing Office Productivity with Modern Tools

Every productivity tool promises to save an hour a day. Most of them move that hour somewhere else, and the teams that actually get time back changed a habit rather than a subscription.

The tool is rarely the problem

A team drowning in messages does not have a chat problem; it has a decision problem. Nobody knows what needed a decision, who was making it, or when, so everything becomes a message to be safe.

Adding a tool to that produces two places to be unsure in. Deciding who decides, and writing it down where the work happens, removes more messages than any integration ever will.

Four changes that survive contact with a busy week

• One place per kind of thing. Decisions in one place, tasks in another, chatter in a third. Two places for the same kind is how things get lost.
• A default meeting length of twenty-five minutes. It gives everybody five minutes back per hour and it is the least controversial change on this list.
• Written updates before the meeting. A status round is the most expensive way to distribute information anybody has invented.
• A weekly hour with nothing in it. Not for catching up. For the work that never becomes urgent and therefore never gets done.

On automation

Automate the thing you have done the same way five times, not the thing you might do often. Most automation debt is a workflow built for a process that changed a month later.

And write down what an automation does somewhere a person will find it. An unexplained automation is indistinguishable from a bug the first time it misfires.

Measuring whether any of it helped

Do not measure hours saved; nobody can. Measure whether the thing that used to take two weeks now takes one, and whether people can say what they are working on without checking.

If neither moved, the change was cosmetic. That is worth knowing early, because the cost of a tool is mostly paid in the second month.
